Cancellation & Refund Policy
Last Updated: October 2026
At Socotra Week, we carefully plan each journey and make advance arrangements for the services required to ensure a smooth and well-organized travel experience. Due to the nature of travel to Socotra Island and the advance commitments associated with flights, visas, transportation, accommodation, and other travel arrangements, cancellation and refund fees are subject to the terms outlined below.
1. Cancellation by the Traveler
Travelers may request to cancel their trip at any time by contacting us in writing via email or through an approved communication channel.
Any refund due will be calculated based on the time remaining before the scheduled departure date and the costs already paid to service providers.
60 Days or More Before the Trip
The traveler may request to change the travel date subject to availability and applicable arrangements, or receive a refund of the amount paid after deducting:
- Any non-refundable fees.
- Visa or entry permit costs that have already been issued or processed.
- Non-refundable airline tickets or booking fees.
- Any services or arrangements that have already been paid for and cannot be refunded by the service provider.
41 to 59 Days Before the Trip
The remaining amount will be refunded after deducting 15% of the total trip price, in addition to any non-refundable costs or fees already paid.
25 to 40 Days Before the Trip
The remaining amount will be refunded after deducting 30% of the total trip price, in addition to any non-refundable costs or fees already paid.
Less Than 25 Days Before the Trip
Bookings made within this period are considered non-refundable, due to the commitments and costs incurred in advance to prepare and operate the trip.
2. No-Show or Withdrawal During the Trip
If a traveler fails to arrive for the scheduled trip, arrives after the departure time, or chooses to leave the trip before its completion, they are not entitled to a refund for unused days or services.
No refund will be provided for services not used due to late arrival, voluntary withdrawal, or changes to the traveler's plans.
3. Visas and Entry Permits
Visa or entry permit fees, as well as any related government or administrative charges, may be non-refundable once the application or issuance process has commenced, even if the traveler subsequently cancels the trip.
4. Airline Tickets
Airline tickets are subject to the terms and conditions of the airline and ticketing service provider.
Airline tickets or issuance fees may be non-refundable or subject to separate change and cancellation conditions. Travelers will be informed of any specific conditions before the ticket is issued, where possible.
5. Cancellation by Socotra Week
In exceptional circumstances, Socotra Week may be required to cancel or reschedule a trip due to circumstances beyond its reasonable control, including:
- Weather conditions or seasonal monsoon winds.
- Flight cancellations or schedule changes.
- Official restrictions or requirements.
- Closure of certain areas or roads.
- Security or emergency situations.
- Any other force majeure circumstances affecting the safe operation of the trip.
In such circumstances, we will inform the traveler as soon as reasonably possible and explore the available options, which may include changing the travel date, rescheduling the booking, or refunding eligible amounts, subject to costs already incurred and the terms and conditions of service providers.
We cannot guarantee refunds for amounts paid to third-party providers if those amounts are non-refundable under their applicable terms and conditions.
6. Changing the Travel Date
Travelers may request to change their travel date, subject to availability of the new date and any costs associated with the booking.
Additional charges may apply if the change requires:
- Reissuing airline tickets.
- Changes to visas or entry permits.
- Rebooking accommodation or camps.
- Changes to transportation or tour arrangements.
- Any other fees charged by service providers.
Requests to change the travel date should be submitted as early as possible.
7. Changes to the Number of Travelers
If the number of travelers decreases after a booking has been confirmed, this may affect the total trip cost or result in cancellation charges for services that have already been booked.
Any refund due will be calculated according to the cancellation terms applicable at the time the change is requested.
8. Transfer of Booking to Another Traveler
A booking may not be transferred to another person without prior approval from Socotra Week and provided that the replacement traveler meets all applicable travel, visa, and booking requirements.
Additional fees may apply if the change requires the reissuance of tickets, documents, or reservations.
9. Travel Insurance
We strongly recommend that all travelers obtain comprehensive travel insurance before their trip, including appropriate coverage for trip cancellation, flight delays or cancellations, medical expenses and emergencies, lost luggage, and other risks associated with travel.
Socotra Week does not provide travel insurance and is not responsible for obtaining insurance on behalf of the traveler.
10. How to Request a Cancellation
To submit a cancellation request, please contact us in writing via:
- Email: info@socotraweek.com
- WhatsApp: +967 770 418 224
The cancellation request must include the traveler's name, booking reference, and trip date.
The date on which the written cancellation request is received will be used to determine the applicable cancellation policy and fees.
11. Processing of Refunds
If a traveler is eligible for a refund, the refund will be processed after all applicable fees and non-refundable costs have been calculated and deducted.
Where possible, the refund will be issued using the original payment method or another method mutually agreed upon.
Refund processing may take additional time depending on the bank or payment service provider.
12. Acceptance of This Policy
By completing a booking or making any payment for Socotra Week services, the traveler acknowledges that they have read, understood, and agreed to the terms of this Cancellation & Refund Policy.
Socotra Week reserves the right to update this policy when necessary. The terms applicable at the time the booking is confirmed will apply unless otherwise stated.
